Study Team Information

IDS has processes in place to ensure that investigational products are managed safely, accurately and effectively and that all pharmacy records are available for review by sponsors and auditors.

All appointments and cancellations for subject study IP need to be sent via email to the IDS group email: ids.pharmacy@duke.edu 

All appointments should be scheduled at least 24 hours in advance.

Please see the scheduling process below for information when scheduling a subject visit with IDS. Send this information even for potential subjects as soon as possible; it is easier to cancel a visit than to add a last-minute one to the calendar.

Scheduling Steps for Study Coordinators

We need MaestroCare orders and the randomization notification with IP assignment(s) at least the day before an appointment before we can dispense the medication. IDS understands that some systems only allow same day randomization. In these cases, please send randomization notification/assignments to IDS as soon as possible. 

If IDS randomizes, we will do so when we have all the necessary information for randomization/IP assignment (i.e., patient weight, randomization ID, notification of patient arrival, etc.). Once completed, we will need at least 30 minutes to prepare the dose.

Be aware that MaestroCare orders must be entered and released before IDS receives/verifies it.

 An email will be sent to the study team when IP is ready to be picked up

For studies requiring temperature monitoring or specialized handling during shipment, sponsors must supply all necessary shipping materials, including temperature-controlled packaging and monitoring devices. IDS does not provide these materials but will use them as instructed if they are supplied. 

Study teams coordinate with IDS the shipment of investigational products (IP) using a range of certified courier services to ensure secure and compliant transport. When study teams schedule IP pickups, they are required to use approved shippers (e.g., World Courier, MARKEN, PCI) which meet regulatory and logistical standards for pharmaceutical transport. IDS plays a key role in maintaining the integrity of shipments by completing the necessary chain of custody forms for each courier and documenting the transfer process. However, it is important to note that IDS does not have the capability to precondition shipping containers prior to dispatch.

NOTE: per IDS policy, we do not provide temperature monitoring if the travel time is within 60 minutes.
